The Event Dynamics team has decades of collective expertise and experience in planning meetings and managing events worldwide. Our specialty is working with the world’s leading associations, foundations and corporations to design and operate meetings, events and travel programs, with particular experience in developing countries where limited infrastructure, resources and challenging conditions are the norm.
Event Dynamics provides a suite of comprehensive event management services including:
- Complete project management, including pre-event venue location selection and scouting
- On-site registration and hospitality hosting services
- Set up and management of operations office – including receiving, storage and shipping
- Management of all printed and electronic meeting collateral
- Management of audiovisual and technical suppliers and hosted internet cafes
- Budget controls and accounting checks on-site and final reconciliation
- Management of transportation services – airport desks, shuttles and transfers, tours and field trip transportation
- Management and pre-event review and assessment of security and emergency programs with all venues, suppliers and contractors
- Food and Beverage controls – management of hosted bars and food service in line with budgets, event themes and objectives
- Management of branding & graphics, including directional signage, electronic boards, message boards, etc.
- Daily meetings with key players to review agendas, logistics and adjust plans for any real or anticipate changes
- On-site travel and tours desk, including pre- and post event itinerary planning
- Final account reconciliation and comprehensive client debrief after the event
